Job Overview:

The Service Desk Officer in the Warehouse Department plays a critical role in ensuring seamless communication, efficient support, and smooth operations between internal departments, external clients, and service providers.

The officer is responsible for receiving and managing service requests, troubleshooting warehouse-related issues, coordinating with warehouse staff, and maintaining a high level of customer satisfaction within the logistics, shipping, and freight forwarding environment.

  • Act as the first point of contact for internal and external clients, addressing service requests and issues related to warehouse operations.
  • Troubleshoot and resolve warehouse-related issues, provide clear and prompt communication regarding warehouse and shipment statuses, including order discrepancies, delays, inventory issues, damaged goods and delivery timelines.
  • Maintain accurate records of all customer interactions, issues, and resolutions in the service desk system.
  • Receive and log service requests through various channels, including email, phone, and ticketing systems.
  • Prioritize and categorize service requests based on urgency and importance, ensuring that critical issues are addressed promptly.
  • Track, monitor, and escalate unresolved service requests to the appropriate department or senior management.
  • Follow up on open requests and provide regular updates to stakeholders regarding the progress of service resolution.
  • Coordinate with warehouse staff and supervisors to ensure efficient handling of incoming and outgoing shipments.
  • Monitor and support the tracking of inventory movements, ensuring that warehouse operations align with shipping schedules and logistics requirements.
  • Liaise with freight forwarders, shipping agents, and other external partners to resolve issues that may arise during the shipping or warehousing process.
  • Prepare and maintain reports on service requests, issue resolution, and performance metrics.
  • Ensure all service-related documentation is accurate, up-to-date, and compliant with company policies and industry standards.
  • Assist in compiling inventory and shipment reports for management reviews and audits.
  • Provide basic technical support for warehouse management systems (WMS) and other logistical software tools.
  • Assist warehouse personnel with troubleshooting issues related to the WMS, barcode scanners, and other warehouse equipment.
  • Coordinate with IT teams to escalate and resolve technical issues that impact service delivery.
  • Identify and recommend improvements to processes and systems to enhance service delivery and operational efficiency in the warehouse department.
  • Suggest ways to streamline communication between departments, reduce service downtime, and enhance the overall service experience for clients.
  • Ensure that all service desk activities align with health and safety regulations, warehouse protocols, and company policies.
  • Assist in maintaining a safe and organized warehouse environment by addressing safety-related concerns raised by employees or clients.

Requirements:

What you need to succeed (Qualifications, experience, skills, attributes)!
As per the job role Service Desk Officer we are looking for intermediate/diploma in logistics, supply chain management, business administration, or a related field preferred. 2 years of experience in a customer service, logistics, or warehouse environment, preferably within the shipping, logistics, or freight forwarding industry. Familiarity with relevant software. Previous experience with handling service desk or helpdesk functions is a plus. Strong communication skills, both written and verbal. The Service Desk Officer will primarily work in an office setting within the warehouse facility, with occasional floor visits to support warehouse operations. May be required to work in shifts or flexible hours, depending on operational needs. Regular interaction with warehouse staff, clients, and logistics partners.
