Job Overview:

The Delivery Coordinator in the Warehouse Department plays a vital role in ensuring the effective and timely delivery of goods and products. This role involves managing the flow of shipments from the warehouse to their final destination, coordinating logistics, optimizing delivery schedules, and liaising with clients, vendors, and internal teams.

The Delivery Coordinator ensures that all deliveries are executed in a cost-effective and efficient manner while maintaining high levels of customer satisfaction.

• Coordinate and schedule deliveries to ensure that all orders are delivered on time and in full, in line with customer expectations.
• Collaborate with the warehouse team to prepare and load shipments, ensuring correct items are dispatched to the right destinations.
• Plan delivery routes, considering factors such as delivery times, traffic conditions, and priority shipments.
• Liaise with external transport providers, including freight forwarders, trucking companies, and couriers, to ensure efficient transportation solutions.
• Serve as the primary point of contact for customers regarding delivery status, scheduling, and any issues related to shipments.
• Communicate proactively with customers about delivery windows, potential delays, or issues with their orders.
• Address any customer complaints or concerns related to delivery promptly, ensuring resolutions are satisfactory.
• Monitor the status of deliveries, track progress, and ensure that shipments are dispatched on time and arrive at the correct location.
• Provide regular updates to customers and internal teams about the status of deliveries, including estimated arrival times and any delays.
• Investigate and resolve issues that may arise during the delivery process, including delivery discrepancies, delays, or damaged goods.
• Ensure that all delivery documentation is completed accurately, including shipping labels, delivery notes, and invoices.
• Maintain detailed records of delivery schedules, routes, and communication with customers and suppliers.
• Ensure all required customs documentation is prepared for international shipments, working with relevant departments to ensure compliance.
• Work closely with the warehouse team to ensure that products are picked, packed, and ready for delivery according to the established schedule.
• Ensure that delivery instructions and specific customer requirements are communicated effectively to the warehouse team.
• Coordinate with warehouse staff to verify that the correct quantities and products are dispatched for each order.
• Evaluate and optimize delivery routes and methods to ensure cost-efficiency, timeliness, and resource optimization.
• Monitor delivery performance metrics, identifying areas for improvement and implementing corrective actions when necessary.
• Assist in the continuous improvement of delivery processes, contributing to efficiency gains and cost savings.
• Ensure that all delivery processes comply with legal regulations, including health and safety standards, transportation regulations, and customs requirements for international shipments.
• Oversee the safe loading, unloading, and handling of goods to minimize damage and ensure compliance with health and safety guidelines.
• Report any safety hazards, accidents, or delivery-related incidents to management for investigation.
• Address and resolve any delivery-related issues, such as missed deliveries, damaged goods, incorrect shipments, or delays.
• Work with relevant internal teams (e.g., warehouse, procurement, customer service) to identify root causes and implement long-term solutions to prevent recurrence.
• Provide timely updates to customers regarding any challenges or changes in their delivery schedule.
• Maintain relationships with external vendors and suppliers, ensuring smooth communication and coordination of deliveries.
• Assist in the selection of reliable delivery vendors, negotiating favourable terms, rates, and delivery schedules.
• Coordinate with third-party logistics providers to ensure they meet service level agreements (SLAs) and performance standards.

Requirements:

What you need to succeed (Qualifications, experience, skills, attributes)!
As per the job role Delivery Coordinator we are looking for intermediate/ diploma or equivalent in logistics, supply chain management, business, or a related field is preferred. 2 years of experience in logistics, supply chain management, or a delivery coordination role, ideally within the shipping, logistics, or freight forwarding industry. Experience in customer service or managing customer relationships is a plus. Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple shipments simultaneously.
